How does GrowerIQ help you manage SOPs and training?

Seed-to-Sale Software: SOPs and Training are not usually topics that are associated with cannabis software, but GrowerIQ’s seed-to-sale software system also functions as cannabis QMS software, cultivation software, and an ERP system. This allows you to have one integrated system managing all your cannabis business needs. Health Canada can impose administrative monetary penalties of up to CAD 1 million for SOP or record-keeping non-compliance. Not to mention the Shopify and Advanced Care integrations that make GrowerIQ a complete resource.

Managing SOPs with GrowerIQ’s Seed-to-Sale Software

GrowerIQ’s Seed-to-Sale Software includes a secure, role-based document repository. One of its most distinctive features is that it has a document repository. You can use this document repository to store all of your SOPs and control access so that only the most current SOP revision is available to employees. GrowerIQ also offers cannabis business consulting services, including a template SOP system that can be customized to your business model. SOPs are a very important part of cannabis businesses, and as a licensed producer, you are required to have standardized procedures that dictate how work is done in a controlled manner. Regulators require SOP and training records to be retained for at least two years.

Onboarding Employees With GrowerIQ

Each employee will have their unique identifier in the GrowerIQ system. This is a requirement of Canada’s cannabis regulations and also best practices. Once your employee’s ID is created, you’ll be able to start onboarding them and training them for their job. Create role-specific onboarding checklists to standardize training. The employee will be able to work through the list and read the SOPs that are required for their position.

That checklist is important since it will be proof of their initial training. You’ll want to have the initial and date next to the list item for each SOP as they finish reading them and as they are trained on the actual procedure. The trainer should also initial and date to confirm that the employee has read the SOP and demonstrated proficiency in that process. The list should be uploaded to the GrowerIQ document repository and stored with the employee’s information.

Annual Employee Training with GrowerIQ

Along with onboarding training, you should also provide your employees with annual training on critical SOPs and processes. Annual training should always include your safety programs, and including your sanitation program is also a good idea. Refresher training sessions can be done in groups. You should document the annual training by using a sign-in sheet that details the training topics, training activities, date, and names and signatures of all employees participating and the trainer. Again, you will want to upload the documentation of the training to the GrowerIQ document repository since training records are critical to retention.

SOP Revision Training and Additional Task Training

In addition to training at onboarding and annual training, you will also need to document training for SOP revisions and for additional job training. When you train employees on additional tasks or updates to an SOP, you should document them as you do for other training types. For SOP revisions, the annual training method, where there is one group sign-off sheet, works best.

Employees should be alerted to SOP revisions and trained on those revisions within a week of the revision being finalized and approved. If an employee is assigned new job tasks and needs additional training, a checklist will allow you to document their new skills and knowledge. Like all training documentation, you must retain the records, which cannabis tracking software does for you. Keeping the records is a legal requirement

Seed-to-Sale Software: SOPs and Training

Recordkeeping is one of the most important functions of the cannabis business. Automating compliance tasks with software can free up 10 + hours per week for many teams. It is the only proof you truly have that you are not conducting criminal activities. However, recordkeeping is also tedious and burdensome, which is why it is critical to have a detail-oriented quality manager who can oversee operations and make sure they are documenting everything correctly for quality assurance purposes.

GrowerIQ eases recordkeeping and record-retention with its automated document repository. The seed-to-sale software also replaces the need to keep certain paper records by digitizing many processes. The system also uses intelligent design to make sure steps are taken in the proper order. You’ll love the time and stress you save with GrowerIQ Seed-to-Sale Software: SOPs and Training!
